Want to know how really effective people manage their email? It's actually very simple, but requires a bit of discipline and can be challenging to follow for that very reason.

What is Zero inbox all about?

The idea is that nothing lives in the incoming folder. Messages are processed and moved out of the inbox immediately after processing.

You need to put a time in your calendar for dealing with emails: when do you deal with emails? Is it once a day, twice a day or three times a day?

If you work in customer service, I understand the need for more frequent processing, but even then you should set aside times in your working day when the email doesn't ring and you can concentrate without interruption.

How does Zero inbox work?

When the processing time arrives, all incoming messages will be processed. They are either calendared, responded to immediately or put on a to-do list.

They don't stay in the inbox - they are moved out. This way, after processing, the inbox is empty, hence the name Zero inbox.

Why is the Zero Inbox method important?

This saves a huge amount of cognitive capacity and energy. This means that you spend your energy for the day on promoting important areas of focus, not jumping here and there reacting to the clicks of an email.

This is important: turn off all notifications, beeps and red balloons. Do not use them again. They interrupt the focus every time they beep or appear on the screen. Turn them off - you'll protect your concentration and add up to an hour of productive work time to each day.

Deal with messages at the agreed times each day and respond to them when you decide. Very simple, a little challenging to implement, but extremely rewarding in many ways when you succeed.
